VaiCall Privacy Policy (Accudi, Inc.)

This Privacy Policy describes how Accudi, Inc. (“Accudi,” “we,” “us,” “our”) collects, uses, discloses, and protects personal information when you use the VaiCall application, website, and related services (“Service”).

1. Information We Collect

  • Account identifiers: name, email address, phone number, organization (if provided).
  • Authentication & device data: session tokens, IP address, device type, OS/browser version, app telemetry, and crash diagnostics.
  • Call metadata: caller/callee phone numbers, call duration, timestamps, selected language or voice, and call outcomes.
  • Audio & transcripts: AI-generated transcripts, summaries, translation snippets, and optional audio downloads created during calls.
  • Billing information: payment status and identifiers provided by Apple In-App Purchases or other payment processors (Accudi does not store full card numbers).
  • Support & feedback: questions, survey responses, or files you submit to our support team.

2. How We Use Information

We process personal data to:

  • Provide, personalize, and improve AI-assisted calling, transcription, and translation features.
  • Maintain account records, subscription status, and payment histories.
  • Monitor system performance, prevent fraud or abuse, and enforce our Terms of Service.
  • Support compliance with legal and regulatory obligations (e.g., TCPA, FCC rules).
  • Communicate updates, security alerts, and product notices.
  • Analyze aggregated trends to enhance product design (without selling personal data).

3. Audio Handling & Retention

  • Calls are streamed through third-party telephony partners. Audio is not stored by default.
  • If you explicitly download a recording, we retain that file for up to ninety (90) days before permanent deletion.
  • Providers that facilitate real-time call handling may temporarily cache audio for up to fourteen (14) days, after which it is deleted unless legally required otherwise.

4. Transcripts, Summaries & Retention

  • AI-generated transcripts, summaries, and metadata are retained up to twelve (12) months to power call history, search, and analytics, unless you delete them earlier.
  • You may request deletion at any time via in-app tools or by contacting support. Some fragments may persist in backups for a limited period.

5. Legal Bases for Processing (GDPR)

Depending on your location, we rely on the following legal bases:

  • Contractual necessity to deliver calling features and manage your subscription.
  • Consent for optional features (e.g., audio downloads, marketing emails).
  • Legitimate interests in fraud prevention, security, and product analytics.
  • Compliance with legal obligations, including responding to lawful requests.

6. Disclosure of Information

We share personal data only as needed to operate VaiCall or comply with law:

  • Telephony, speech-processing, and cloud hosting vendors.
  • Payment processors (Apple, Stripe) for subscription management.
  • Analytics and logging providers contracted to improve stability.
  • Law enforcement or regulators when legally compelled.
    We do not sell personal information. Vendors are bound by confidentiality and data-protection commitments.

7. International Data Transfers

Personal data may be processed in the United States or other jurisdictions where we or our vendors operate. When transferring data internationally, we rely on Standard Contractual Clauses or equivalent safeguards, and we assess partners for suitable security controls.

8. Security Measures

We implement administrative, technical, and physical safeguards aligned with SOC 2 principles, including encryption in transit and at rest, role-based access, logging, and incident response procedures. No system is perfectly secure; please notify us promptly if you suspect unauthorized activity.

9. Data Subject Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or export your personal data. Submit requests to support@accudi.com with sufficient detail for verification. EU/UK residents may also lodge complaints with their supervisory authority. We will respond within applicable legal timeframes.

10. Children’s Privacy

VaiCall is not directed to children under 13 (or the minimum age in your region). We do not knowingly collect data from children. If you believe a child has provided data, contact us to request deletion.

11. Retention

We retain personal data only as long as necessary for the purposes described above, to resolve disputes, enforce agreements, and meet legal requirements. When data is no longer needed, it is securely deleted or anonymized.

12. Changes to This Policy

We may update this Privacy Policy to reflect product, legal, or operational changes. We will notify you of material updates via the app, email, or another reasonable method. Continued use after the effective date constitutes acceptance of the revised policy.
